Event Coordinator
Are you cool, calm, and collected with a knack for coordination? A part-time juggler with a full-time nose for prioritization and an all-around awesome person? And have you always wanted to take charge of virtual and in-person events while working in a young, dynamic, and supportive marketing agency? Then you might just be our next Event Coordinator.
What you will do
Event and project management
- Manage virtual and in-person events with a special focus on quality, flexibility, and customer satisfaction
- Translate each project into a set of concrete deliverables and coordinate a timely delivery within budget
- Coordinate event logistics and publicity
- Coordinate the design, production, and distribution of advertising with the support of our in-house teams
- Plan all event-related tasks in Scoro, our planning tool, while respecting the agile workflow
- Attend events if/when necessary to facilitate their success
Collaboration and communication
- Work closely with all your colleagues in the internal marketing agency and ensure all necessary parties are aligned
- Ensure alignment with internal clients (campaign managers from our different divisions and regions) on status and performance
- Advise on tactics and best practices for each event
- Encourage and build trusting relationships
- Communicate effectively with a wide variety of external suppliers
Reporting and administration
- Take responsibility for all the administrative and financial follow-up of your projects
- Handle all post-event reporting and retrospectives, sharing your findings with the relevant colleagues
- Deliver all projects successfully, meeting the established quality requirements and deadlines

Your profile
- You have 5 years of experience in marketing and event coordination
- You have excellent organizational and planning skills
- You are very detail-oriented
- You are able to handle pressure and have a hands-on and resourceful attitude
- You can juggle multiple tasks and identify priorities
- You are a team player: you can easily motivate and engage others to bring out the best in themselves
- You are customer-oriented, open-minded, and creative
- You are not afraid to take initiative
- You have excellent communication skills in English, both spoken and written. Any other languages are a plus
- You want to challenge yourself on a daily basis in a very diverse job
- You are available to start as soon as possible
